This is a 50 week per year position working 35 hours a week during the Academic Year and 20 hours a week during the summer. The two unpaid weeks will be agreed upon by the department and the employee.

The Administrative Assistant for the Political Science and History departments is responsible for providing clerical administrative and project support for both departments.Reporting directly to the chairs of each department the Administrative Assistant is the primary point of contact of internal and external guests to the departments.

Qualifications:

  • High school diploma required. An Associate’s or Bachelor’s degree is preferred.
  • Three to five years of administrative experience, preferably in an educational or related environment.
  • Excellent communication and interpersonal skills.
  • Ability to work independently in a fast paced environment. 
  • Extensive computer skills, such as working knowledge of Microsoft Office and Excel, Google Suite (Gmail, Google Calendar, and Google docs).
  • Ability to maintain the departments’ websites and make any necessary updates. 
  • Social media experience preferred. 
  • The willingness to learn new programs and responsibilities.

Responsibilities:

  • Provide support for associated activities, to include managing the schedule/calendar, making travel arrangements, screening and handling telephone communications, greeting and directing visitors, and dealing with administrative problems and inquiries as appropriate. 
  • Serve as a primary point of direct administrative contact and liaison with other offices, individuals, and external institutions and agencies on a range of issues.
  • Gather, process, and analyze department data.
  • Aid chairs with tasks related to faculty reappointment, tenure, and merit reviews.
  • Fill out forms for the registrar (course schedules, final exams, etc.).
  • Carry out administrative duties such as filing, typing, copying, binding, scanning, ordering and organizing necessary office supplies, etc.
  • Manage all department events, dinners, seminars, conferences under the general supervision of the Department Chairs (i.e. maintain an event budget, make campus contacts with dining services, instructional technology or any other campus contact necessary for the event, make hotel and travel arrangements for speakers, create and post seminar flyers, etc.).
  • Assist with securing housing, dining locations, venues for class and speakers, receipt processing, and other related activities.
  • Provide full support in hiring faculty. Tasks include, but are not limited to: maintaining and organizing records of all job applications received, scheduling on-campus visits (including hotel, transportation, and dining services reservations), help with scheduling job seminars, student meetings with the visiting faculty, and so forth. 
  • Assist in the planning and tracking of activities related to the departments' respective study away programs.
  • Hire and manage work study students for the departments.
  • Manage and create content for social media accounts. 
  • Assist and facilitate building and maintaining an alumni network; support fundraising activities.
  • Calculate GPAs for senior honor students and Phi Alpha Theta History and Pi Sigma Alpha Political Science honor society inductees.
  • Other duties and projects as assigned.
